Privacy Policy
Ross Kirtland is an independent public speaker based in the United Kingdom and is the controller responsible for personal data collected through this website. This policy explains how I handle speaking enquiries under the UK GDPR and the Data Protection Act 2018.
Details to confirm before relying on this policy: privacy contact email and postal contact address; enquiry and booking retention periods; Framer form storage, delivery and international transfer arrangements; any other service providers; and the website’s cookie and analytics settings. These are marked below rather than assumed. Policy prepared: 16 October 2026.
1. Information I collect
When you use the contact form, I receive your name, email address, optional company or organisation name, and the speaking enquiry details you provide. I may also keep subsequent correspondence. Please do not include sensitive personal information, such as health details, or information about other people unless necessary.
2. Why I use your information
I use enquiry information to respond, discuss your event and, where appropriate, arrange a speaking engagement. Where you are a prospective contracting party, the lawful basis is taking steps at your request before entering a contract, and performing that contract if a booking follows (Article 6(1)(b)). For general enquiries or when you contact me on behalf of an organisation, I rely on legitimate interests in responding and managing my speaking business (Article 6(1)(f)), balanced against your rights. Any legally required records are processed to comply with legal obligations (Article 6(1)(c)). Sending an enquiry is not consent to marketing. Supplying information is voluntary, but without contact details I may be unable to reply.
3. Framer and other service providers
This website uses Framer’s website and form services. Framer processes form submissions to handle and deliver your enquiry on my behalf, using its service providers as applicable. Enquiries may also be handled by the email provider used to receive and reply to them. I do not sell enquiry information. Information may be disclosed where required by law. [CONFIRM: the enabled Framer submission storage and delivery settings, email provider and any connected services; where data is processed; and any applicable UK adequacy decision or approved safeguards for transfers outside the UK.]
4. How long information is kept
Enquiry information should be kept only as long as needed to answer your enquiry and manage any resulting engagement, subject to legal record-keeping requirements or the need to establish, exercise or defend legal claims. [CONFIRM: the retention period for unsuccessful enquiries, booking records, email copies and Framer-stored submissions, and how these are securely deleted.]
5. Your data protection rights
Depending on the circumstances, you can request access to your information, correction, erasure or restriction of processing, and data portability where the legal conditions apply. You can object to processing based on legitimate interests. If processing relies on consent, you may withdraw it at any time without affecting earlier lawful processing. These rights are subject to legal exceptions. Requests are normally answered within one month and without a fee; I may need to verify your identity.
6. Contact and complaints
To ask a question or exercise your rights, contact Ross Kirtland using the website contact form. [CONFIRM: add the dedicated privacy contact email and an appropriate postal contact address.] You can also complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at any time.
7. Website data and policy updates
[CONFIRM: whether hosting logs, cookies, analytics or embedded services collect visitor data, including the data collected, purposes, lawful bases and retention periods. Add details and any required cookie choices before enabling non-essential tracking.] This policy will be updated when the way personal information is handled changes.
